Provide detailed and accurate administrative, accounting, collection and customer service for Chapman University Orange Campus student accounts. Communicates clearly and concisely with all constituents. Accurate review of student accounting details. Clearly and concisely identify potential problems and resolve. Accurately correct accounting discrepancies to ensure accuracy of student accounts and month end statements. Research and resolve complex student account issues regarding payment plans, monthly billing statements, registration holds, registration drops and adds, and financial aid issues and coordinate resolution with students, parents and other university departments. Clearly and concisely counsel students and parents on financial agreements with the university based on policy and professional judgment to ensure timely payment and follow up on past due accounts. Clearly and concisely counsel students, parents and constituents on University policies. Coordinate student account activity and account adjustments with other university departments. Accurately calculate and process student refunds based on federal and university policy. Request stop payment on student refund checks as needed. Prepare clear and concise written correspondence to ensure understanding of issue. Ensure timely collection calls and follow up. Analyze student accounts to determine registration eligibility and update proper restriction codes in system. Update and maintain accurate payment and financial aid codes in system. Utilize ImageNow system as a tool in research account history. Utilize Datatel student system screens efficiently in analyzing student accounts. Provide assistance to other student account advisors as needed. Assist in special projects as requested.
Required: Two years accounts receivable and collections or equivalent experience. Clear and concise oral and written communication skills, problem solving skills, and demonstrated ability to handle adverse situations with tact and diplomacy. Good organizational skills and technical skills and ability to work under deadlines. Ability to multitask in fast paced organization and provide timely response to requests for service. Strong customer service skills. Demonstrated ability to work independently, take initiative, and exercise discretion and judgment on matters of significance, and ability to maintain the highest level of confidentiality. Strong team player with ability to work in diverse environment. Proven experience in concisely gathering and analyzing data, reasoning logically, drawing valid conclusions and communicating those to others in a clear and concise manner and making effective recommendations to management. Working knowledge of accounts receivable and collections and demonstrated ability to use this knowledge clearly and concisely to solve routine, extraordinary and complex issues and problems. Ability to remain poised in stressful situations and provide a high level of customer service. Sound interpersonal skills to relate compassionately with others yet with sufficient detachment to communicate understanding of issue, rules, procedures and policies in a clear and concise manner. Ability to prioritize duties and multitask when faced with interruptions, distractions and fluctuating workload. Self starter with the ability to perceive tasks that need to be accomplished and take appropriate steps to achieve success by maintaining the highest level of student service within limitations of law, regulations and university policy. Ability to use standard office equipment.
Desired: Two years college or equivalent experience in accounting. Experience working for a university. Knowledge of state and federal financial aid programs. Knowledge of Chapman University policies and procedures. Working knowledge of Datatel Colleague System.
