![]() STDT LIFE DEVT SUPV 1 (Orientation Business Office Manager) Department Description Position provides program analysis, fiscal, operational & customer service for the UC Davis Aggie Orientation (9500+ students annually). Collaborates with all Colleges & Student Affairs & oversight for business office staff supervision and training. JOB SUMMARY Under primary supervision of the Assistant Director, responsible for the day-to-day oversight of operations & business practices of the program, including direct supervision of the administrative assistant. Manages the customer service, office logistics and check-in processes of Aggie Orientation. High level analyst, project manager, who resolves problems, interprets policies (e.g., fiscal management, HR, contracts, resources), & helps develop & implement processes, policies, and systems. Assists with planning and executing large-scale events & logistics for new students. Exercises judgement within defined procedures and policies to determine appropriate action. Supervises staff to ensure accountability and stewardship of student fees and program/department resources in compliance with goals and objectives. Oversees customer service, communication, key/access controls, facilities related to program. Recruits, hires, develops and evaluates personnel including performance management and recommending of awards & terminations. Participates in complex projects and initiatives, reports, assessment, data mining. Administers and manages program fees, student payroll, expenditures & makes budgetary recommendations to supervisor. Collaborates directly with internal and external stakeholders to plan large-scale events; exercises appropriate political acumen. Position requires extensive expertise in event planning, project management, student development theories, budgetary planning, and a strong background in student affairs training, supervision & conflict management. Position has delegated authority to represent Orientation & provide consultation to the campus on matters of Aggie Orientation. POSITION INFORMATION Salary Range $4,116.67 - $8,266.67/MO. Walking tours of buildings and climbing stairs. Lifting and carrying boxes of publications and equipment weighing up to 25 lbs. WORK ENVIRONMENT Office area located in shared/common space with students, professional staff, visitor traffic and noise from on-going meetings, telephone conversations, etc. Full time position. Must be able to work occasional overtime and varied lunch hours to meet operational needs. Work occasional weekends and holidays. Work hours will vary with program needs. Must be able to work flexible hours during the Aggie Orientation program as follows: September/October: Tuesday - Wednesday, as early as 6:30AM and as late as 10:00PM Restricted vacation during fall orientation (August - October). Work and travel in extreme temperatures during orientation. UC Davis is a smoke and tobacco free campus. QUALIFICATIONS Required: Minimum of 2 years' experience, in a university environment, in supervision/leadership to recruit, hire, assign and direct work, evaluate performance, ensure performance accountability and otherwise discipline employees (promote, layoff). Experience planning, managing and prioritizing work and projects with minimal direction; skills to identify, delegate & work under pressure of deadlines, heavy meeting schedules & uneven time constraints in a fast-paced, high volume environment. Experience in the application of student affairs or student development theories, practices & principles, including knowledge of the personal, social and transition issues encountered by college students. Experience with planning & implementing small and large-scale events. Experience designing and facilitating group meetings & training programs, delivering presentations to diverse large and small audiences. Problem-solving skills to identify, evaluate & resolve difficult issues, including policy decisions, programs, information & concerns to determine options for action, initiate creative & timely responses and provide high-level customer service. Advanced experience with Excel (Microsoft Office Suite), database management & Google platform. Experience abiding by and enforcing FERPA, state laws, university policies & other general laws applicable to student enrollment, privacy/confidentiality & academic policies. Preferred: A Master's degree in college student personnel, higher education administration, or a related field; or an equivalent combination of education & experience. Knowledge of principles & practices of analysis & business management in a higher education setting to effectively & ethically manage & oversee operational resources, including financial & staff resources. Experience performing high-level analytical work, compiling, synthesizing, analyzing complex information, presenting large quantities of complex data and materials to facilitate decision making and making strategic recommendations. Demonstrated written communication skills to effectively write in a clear, accurate and compelling manner; compose/edit a variety of print & digital communications. Experience attending to detail to process fees, recognize & correct discrepancies, proofreading/editing skills to keep accurate & detailed records. Effective interpersonal & multicultural competencies to establish and maintain effective working relationships with individuals from diverse cultural backgrounds. Demonstrated political acumen skills, to positively affect partnerships & customer service, navigating political complexities of a large, research institution. Experience with university applications (Banner, Aggie Travel, etc.) & budgetary systems (Chart of accounts, Decision Support, DaFIS, etc.). Experience working in a customer service-driven office environment, communicating professionally in person, via email & by telephone. Experience hiring, training and supervising college student employees. Ability to quickly learn and adapt to new processes, procedures & systems. Experience using Outlook, Qualtrics.
