Arizona Charter Academy is seeking an Accounts Payable/Payroll Specialists who is responsible for payroll, accounts payables, deposits, and other duties and report to the Accounting Director. The ideal candidate is task orientated and passionate about implementation of efficient processes.

Accounts Payable

• Ensure all expenses are processed on time and are coded correctly in Infinite Visions including fund and object codes.
• Research, explain, and resolve any variance.
• Review any discrepancies or variances with CEO each month and explain plan of action for resolving all variances.
• Develop policies and procedures for monitoring and reporting on timely payment processing to ensure that all appropriate discounts are captured, penalties are avoided and case is managed to the best of our abilities.
• Maintain good working relationship with vendors.
• Manage revenue of all funds including deposits, reporting and reconciliation
• Work with CFO to provide support and back up data as needed for timely reports.
• Familiar with USFRCS chart of accounts

Payroll/HR

• Ensure payroll is accurately submitted 48 hours prior to payroll date and the timely submission of payroll tax and ASRS payments.
• Set up new employee personal files including meeting with new employees to complete payroll forms, e-verify, and other forms.
• Accurately track employee time off
• Manage all personnel files to ensure accuracy and updates.
• Ensure all employees have appropriate paperwork to meet state and federal requirements, are e-verified, and employee files are set up appropriately.
• Review garnishments, complete paperwork and communicate to employee.
• Address and resolve any payroll or insurance issues with employees.
• Perform reference checks on potential new employees as needed.
• Complete and submit quarterly wage and tax returns.
• Process W2 and 1099 forms
• Work with Administration on special projects
• Utilize Smart sheet to manage tasks and projects
