POSITION DETAILS
Reporting directly to the Administrative Executive Assistant, the Administrative Coordinator assists with the daily tasks and administrative responsibilities that enable the effective running of the Business Office. Along with the CUNY Title Overview, responsibilities for the role includes but are not limited to:
? Manage the access process for business systems for staff which includes but not limited to: form completion, form reviews, ticket creation, and follow-up
? Assist with the process and procedure for departmental non-tax levy appointments
? Enter and maintain records of submitted employee timesheets, alerting supervisors of any discrepancies
? Process and submit all business office expense, and purchasing requests in a timely fashion
? Coordinates tax levy credit card application process and administration (P-cards, T-cards, NET Cards)
? Create and enter requisitions for business office and other departments as necessary
? Train and assist new staff on CUNYBuy and other business office systems
? Distribute non-tax levy allocation reports for all departments
? Update and maintain departmental budget and expense spreadsheets
? Maintain confidential records and information
QUALIFICATIONS
Bachelor's Degree required.
Preferred Qualifications
? Two years? experience in higher education and/or fiscal administration.
? Proficiency in Microsoft Office preferred.
? Experience with PeopleSoft systems such as: CUNYFirst

Supports projects, initiatives, and activities that impact an academic or administrative department.
Manages basic office functions such as communications, meeting schedules, work plans, staff assignments, and distributing information.
Collects data for, prepares, and distributes reports and presentations using word processing, spreadsheet, and presentation software.
Updates office databases, lists, and files to ensure completeness and accuracy; maintains current information on department web site(s); maintains department archives and collections.
Conducts internet and/or database research and performs basic systems queries to locate information related to department activities.
Maintains department fiscal plans and budgets; assists in budget administration and invoice processing.
Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Performs related duties as assigned.
